Thank you for using YourArchive. YourArchive Ltd (“YourArchive”, “us”, “we” or “our”) is committed to respecting your privacy and to complying with applicable data protection and privacy laws. Here we describe how we collect, use and handle your personal data when you (“the User”) interact with us, use our websites, software, and services (“Services”).

What & why

We endeavour to collect and use your personal information only with your knowledge and/or where required or permitted by applicable law, your consent.

General information. We may collect information when you:

  • contact us directly, via our websites, social media, email, telephone, or other direct message

  • attend a meeting with us or attend an event, such as a webinar or conference, organised by us or one of our partners

  • make public professional information or contact details and we may use this information to supply you with requested information, to contact you regarding Services which may be of interest (unless you specifically ask not to be contacted for such purposes), or to update our own database records.

Account information. We collect and associate with your account the information you provide to us when you do things such as sign up for an account. Our Services are designed as a simple and personalised way for you to store and share files, documents, photos, comments, messages, and so on (“Your Content”), collaborate with others, and work across multiple devices and services. To make that possible, we store, process, and transmit Your Content as well as information related to it.

Usage information. We collect information relating to how you use the Services, including actions you take in your account (such as sharing, editing, viewing, creating, and moving files or folders). We use this information to provide, improve and promote our Services, and protect YourArchive users.  

Non-personal Identifying Information. We may also collect non-personally identifying information about your visit to our websites based on your browsing activities. This information may include the pages you browse and products and services viewed or ordered. This helps us to better manage and develop our sites, to provide you with a more enjoyable experience in the future and to help us develop and deliver better products and services tailored to your individual needs.

Device information. We may also collect information from and about the devices you use to access the Services. This includes things like IP addresses, the type of browser and device you use, the web page you visited before coming to our sites and identifiers associated with your devices. Your devices (depending on their settings) may also transmit location information to the Services. For example, we use device information to detect abuse and identify and troubleshoot bugs.

Cookies and other technologies. We use technologies such as cookies and pixel tags to provide, improve, protect, and promote our Services.

Basis for processing your data. We collect and use the personal data described above in order to provide you with the Services in a reliable and secure manner. We also collect and use personal data for our legitimate business needs. To the extent that we process your personal data for other purposes, we ask for your consent in advance or require our partners to obtain such consent.

Sharing data

We may share information as discussed below, but we will not sell it to advertisers or other third parties. YourArchive uses certain trusted third parties (for example, providers of payment processing and IT services) for the business purposes of helping us provide, improve, protect, and promote our Services. These third parties will access your information to perform tasks on our behalf and we will remain responsible for their handling of your information per our instructions.

YourArchive shares infrastructure, systems, and technology with other YourArchive companies to provide, improve, protect, and promote the Services.  

Legal Disclosure. We may disclose your information to third parties if we determine that such disclosure is reasonably necessary to: (a) comply with any applicable law, regulation, legal process or appropriate government request; (b) protect any person from death or serious bodily harm; (c) prevent fraud or abuse of YourArchive or our users; (d) protect YourArchive’s rights, property, safety or interest; or (e) perform a task carried out in the public interest.

Security and data retention

We have a team dedicated to keeping your information secure and testing for vulnerabilities. We continue to work on features to keep your information safe in addition to things like alerts when new devices and apps are linked to your account. We deploy automated technologies to detect abusive behaviour and content that may harm our Services, you or other users.

Data Retention. When you sign up for an account with us, we will retain information you store on our Services for as long as your account exists or for as long as we need it to provide you the Services. If you delete your account, we will initiate deletion of this information after 30 days unless we must retain this information to comply with our legal obligations, resolve disputes, or enforce our agreements. 

Location of data stores

All YourArchive’s data handling infrastructure to hold your content is based in the U.K. If this is not acceptable, please do not use our Services. Our position in terms of Data Protection is that we act only as a Data Processor and that you (the User) are the Data Controller. We will therefore NOT respond to any Data or Subject Access Requests.

Access and control of your data

You have control over your personal data and how it is collected, used, and shared.

If you have consented to receive details of Services, events and training you can contact us at any time to have your details removed from lists used by us for any, or all, of those purposes, to update your information, or to otherwise tell us how you would like to receive information about our Services.

3rd Party Applications

To support delivery our services we share information and data with some external processors and 3rd party apps. We assess all processors to ensure our continued compliance with our obligations to Users, Clients, and data processing regulations such as GDPR. Specific applications are listed below: 

Changes

If YourArchive is involved in a reorganisation, merger, acquisition or sale of our assets, your data may be transferred as part of that process. We will notify you of any such occurrence and outline your choices in that event. We will review and may change this Privacy Policy occasionally, if we make changes, we will notify you by updating the date at the top of the policy and, if the changes are significant, will provide you with additional notice.
